The CRM platform Klaviyo integrates seamlessly with Shopify stores, offering a wealth of professional email marketing opportunities shortly after setup. However, a successful implementation involves more than just connecting the two systems. If key setup steps are overlooked, you may encounter issues with tracking, segments, flows, or email campaigns later on. In this post, we’ll show you the essential building blocks you need to make Klaviyo work for you in the long run.
By connecting Klaviyo and Shopify, important data from your shop can be transferred to Klaviyo and used for your email marketing. This includes customer profiles, order lists, and products, among other things. You should not rely solely on the integration showing as "connected" in Klaviyo. It is essential that the data relevant to your marketing is actually being transferred correctly. Only when Klaviyo receives the appropriate information can meaningful segments and automations be built upon it later. Errors that occur during integration can persist throughout your entire account and be difficult to fix later.
Klaviyo works based on your customers' behavior, which is why tracking is a crucial part of the initial setup. Actions such as product views, abandoned carts, or completed orders provide information about what visitors are doing in your shop. These so-called events can then be used for personalized communication, for example, by having a specific action trigger a flow or ensuring a customer profile is assigned to a specific segment.
When setting up Klaviyo for Shopify, you should therefore verify that the most important events are being captured correctly. If a relevant shop activity does not reach Klaviyo, the automation based on it cannot function reliably. Especially with a new setup, it is worth testing with different profiles before the first campaigns and flows go live.
One of Klaviyo's greatest strengths is the ability to segment customers in a targeted manner. Nevertheless, new shops in particular often tend to use a single, large recipient list for every newsletter. Ultimately, this hurts click-through and open rates, as it is highly unlikely that a single newsletter will appeal to all subscribed customers equally.
With Klaviyo segments, you can define your target audiences much more precisely. Factors such as purchasing behavior, order value, interests, or customer activity can play a role. A segment adjusts dynamically based on previously defined rules and automatically adds matching customer profiles. As soon as a profile no longer meets the rules, it is automatically removed.
With segments, you can create different communications for first-time buyers, active customers, or contacts who have been inactive for a longer period. Your emails become more relevant, and you avoid sending the same content to all customers regardless of their purchasing behavior.
Note: Klaviyo also offers the option to create lists. Unlike segments, these are not dynamic but static. Every profile added to a list remains there until you manually remove it.
Flows are arguably one of Klaviyo's most important features. They allow you to send emails automatically based on specific events or customer activities following a predefined path. A common mistake is to set up a few standard flows and then consider the setup complete. However, what matters is not just which flows are active, but whether they fit your shop's customer journey and business model. Timing, content, target audiences, and conditions should all be aligned. Furthermore, you should regularly analyze and, if necessary, optimize your flows.
Basic automations include, for example, the Welcome Flow, Abandoned Cart Flow, Post Purchase Flow, and Winback Flow. Since each automation involves its own strategies and best practices, we have dedicated a separate article to this topic. You can find it here.
The topic of data protection should also be considered during the Klaviyo setup. In email marketing, it is particularly important to be able to track which contacts are permitted to receive marketing communications and on what basis. This includes, among other things, a properly set up sign-up process for your newsletter as well as an easy way to unsubscribe at any time. The distinction between marketing communications and transactional messages should also be taken into account.
For Shopify merchants, this means: data protection measures should not be reviewed only when the first newsletter is ready to be sent. They are an integral part of email marketing design from the very beginning. Since specific legal assessments always depend on the individual setup and case, you should seek appropriate professional advice for legal questions.
Another point often underestimated during Klaviyo setup is the technical foundation for good email deliverability. Your emails should be sent professionally via a suitable and, above all, authenticated domain. This helps confirm your sender identity to email providers like Gmail, GMX, Outlook, or T-Online and creates a better foundation for long-term deliverability.
Especially if you plan to send newsletters and automated emails regularly via Klaviyo, you should never skip this step. A technically sound setup contributes significantly to ensuring your messages reliably reach your recipients.
Your emails should naturally reflect your online store's branding so that customers immediately recognize which brand the message is from, whether in a newsletter or an automated flow. It is therefore worth creating basic email templates during the initial setup. Your logo, colors, and fonts should match your existing brand identity and can be saved in Klaviyo as presets.
You should also consider mobile display. A large portion of your email newsletters will be opened on smartphones, which is why content, buttons, and product displays must work well on smaller screens. A well-thought-out template system saves time later, as new campaigns can be created faster and designed consistently.
Before your first newsletter hits your customers' inboxes, you should thoroughly test your setup. Automated emails, in particular, can otherwise reach the wrong contacts unnoticed or fail to trigger due to missing data. Test your way through the newsletter signup process, various flow triggers, and how your emails are displayed. You should also check links, personalization, unsubscribe options, and mobile rendering. It is especially important to test not just the email itself, but the entire process. What happens when someone signs up? Is the profile created correctly in Klaviyo? Is it sorted into the right segment? Does the corresponding flow start?
A test run like this can reveal many errors before you actually launch and save you a lot of headaches.
Most problems don't necessarily stem from complex technical errors, but from small fundamentals that are overlooked during setup. We frequently see setups where Shopify is connected to Klaviyo, but tracking and data transfer haven't been fully verified. Missing segmentation, incomplete flows, or an unoptimized sending domain can also severely limit Klaviyo's potential.
A good starting point is a quick audit of the most important areas:
You can certainly set up Klaviyo yourself. However, as your Shopify store grows in size and complexity, a structured setup becomes increasingly important. Professional support is particularly useful for new stores, migrations from other email marketing tools, or existing Klaviyo accounts that have become cluttered over time. If your flows aren't triggering reliably or your email marketing is generating little revenue despite having customer data, it is worth taking a closer look at your existing setup.
